The Director of Operations and Administration must embrace the opportunity to work with a small, dynamic, professional staff team, to develop and update systems and processes, to support the organization during a period of rapid growth, and to manage a wide array of activities to optimize workflow and collaboration.
This role will be responsible for overall organizational and finance systems management and will be an integral part of the organizational health of SVPI. The ideal candidate will be a process-driven, operational thinker, enjoy working in a dynamic environment, and is an independent worker who can effectively share information and collaborate across disciplines. They should bring significant experience managing operational, administrative and/or financial functions for nonprofit organizations, and have a track record of improving performance and successfully fulfilling the functions of a similar role in other organizations.
The position will:
- Manage all operational, administrative, and financial systems including budget, accounting, information technology, human resources, development, and communications with staff on rollout of relevant policies and procedures, ensuring that the organization continues to center its values in all aspects of the work.
- Manage all internal systems, tools and technology including optimization and maintenance of project and data management systems.
- Oversee outsourced Finance, HR and IT teams.
- Manage the planning, coordination and logistics of virtual meetings and events and an annual in-person event.
ROLES & RESPONSIBILITIES
Organizational Systems Management:
- Manage internal systems, including project management and online systems like Google Workspace, Slack, Asana, and other platforms as needed. Manage maintenance, support, trouble-shooting and upgrades to IT systems, in partnership with external IT firm.
- Support the development, improvement, and standardization of organizational policies and procedures and supporting change management efforts where necessary.
- Manage and coordinate work with outsourced IT, HR and legal teams.
- Responsible for Human Resource functions, including keeping personnel files, new hire paperwork and employee training or orientation, and employee benefits administration.
- Manage organizational insurance and vendor relationships, including contracts and payments.
- Work with an outsourced legal team to manage international trademarks.
- Manage SVPI events including scheduling, planning and coordination of monthly virtual events, and an annual in-person conference.
- Provide support as needed for internal and external comms, working with CEO, VP, and external communications firm and ensuring proper recordkeeping and documentation internally.
- Support compliance oversight to ensure all organizational policies and procedures are in compliance with applicable local, federal and state regulations and laws.
- Provide CEO support with Board of Directors governance processes, meetings and management.
- Book space for meetings and handle logistics for all external events, virtual and in-person.
Financial Systems Management:
- Oversight and project management of financial management systems including QuickBooks, BILL.com, and bank accounts.
- Oversight and management of an external accounting firm, in partnership with the CEO, to coordinate bookkeeping and payroll, accounts receivable and payable, financial reports, grant tracking and organizational filing, billing, invoicing, deposits, bank account management, credit card reconciliation and record keeping. Help support compliance with all grants, donations, and other financial restrictions.
- Support budget development and management.
- Manage the administrative processes to accept, track, and report on donations and grants, including sending donor and funder acknowledgements.
- Support Affiliate agreement and dues management process, including sending and tracking annual agreements and annual dues collection.
- Support development of funder reports and funder proposals.
COMPENSATION AND BENEFITS
This is a remote, full-time, exempt position with a salary range of $77,000 - $87,000, depending on experience. Benefits include your own laptop and monthly home office stipend, flexible work hours, fully paid health and dental insurance, retirement plan with 5% match, life insurance, short- and long-term disability, and 20 days of paid vacation, 12 days of sick leave, and 14 paid company holidays.

Requirements
WHAT WE’RE LOOKING FOR
- Strong experience in operations, administration and/or financial management, preferably with 501c3s and membership organizations. 7-10 years experience is preferred.
- Experience managing external consultants, project teams, and deadlines in a fully remote environment, with a team and stakeholders in different time zones.
- Strong judgment, with the ability to take initiative and work independently on multiple priorities while also actively partnering with the organization's leadership and program staff.
- Ability to prioritize and multitask, with a deadline and detail-oriented approach, strong organizational skills, and strong troubleshooting and critical thinking skills.
- Excellent written and verbal communication skills.
- Ability to collaborate with a small, remote team internally and a variety of individuals, groups, and leaders externally.
- Experience and success working with people from a broad range of backgrounds, communities, and experiences. Experience working with global partners is a plus.
- Experience with Google Workspace, Slack, Asana, or other collaborative project management/team communication platforms. Experience with QuickBooks, BILL.com, and other financial management software.
